Nothing reaches a donor until you have approved it.

You stay in charge, and the people in your stories are looked after. Here is how, in four short parts.

01

You approve everything

Nothing reaches a donor until someone at your charity has approved it.

A little more detail

Each month's page starts as a draft. We record who approved it.

One approval covers every donor's page for the month. A major donor's own section is approved on its own.

You can take a page down at any time. The button says Take this page down. It works on one donor's page at a time, and the donor who opens their link then sees a “page not found” message. The email already in their inbox stays there, but its link stops working.

02

People are asked first

One tick confirms the people in your story are happy for their words and photographs to be used.

A little more detail

You type your own name beside the tick. We keep a record of who agreed, when, and the exact words beside the tick.

If you are not sure about something, simply leave it out of your answers.

03

Young people get extra care

If a story involves somebody under 18, their name, their words and the story's photographs are left out unless a member of staff records that a parent or guardian has agreed to them being named or shown.

A little more detail

The monthly questions ask whether the person in a story is under 18. The member of your team who records the agreement types their name to confirm it. If there is none on record, we treat it as no.

A page like that cannot be approved until you record the agreement, or tell a different story.

Explicit health details about a young person, such as a condition, diagnosis or medication, are not allowed on a page, even where a parent or guardian has agreed to their being named. The words on every page are checked for this before it is approved, and again before it is sent. The check reads words, not photographs.

04

Accurate, and yours

Every fact on a page is checked against your answers, your donor records and your own description of your work.

A little more detail

Each donor's name, what they give and how long they have supported you come from the donors you already have, brought in once from your CRM or a spreadsheet. Your private notes about a donor are never used on a page or shown to a donor.

Our checks do not replace your reading. Our terms ask you to check a page is accurate before you approve it.

Each charity sees only its own donors and pages. Anyone with a published page's link can open it without logging in. Every service that handles your data is named in our data processing agreement.
